 Ukrainian Seniors' Centre is a community initiated 35-unit seniors apartment complex providing supportive housing and culturally sensitive programming.
A 7-person continuum-of-care facility  for frail elderly is included in the Centre.

 

POSITION AVAILABLE:  BOOKKEEPER/CLERICAL
24 hours per week

 

ACCOUNTABILITY

The position is directly accountable for finances for the Complex, Centre and Barvinok i.e. the collection of income/revenues and the accuracy of payments/expenses and records in order that they can be substantiated through audit.

SKILLS AND ABILITY

  • bookkeeping skills (ie:Simply Accounting)
  • Great Plains software
  • LHIN reporting software (WERS/SRI)
  • word processing skills (Microsoft Word/Corel WordPerfect)
  • spreadsheet skills (Excel)
  • ability to handle basic office equipment (telephone, backup, fax, photocopier, scanner)
  • ability to communicate clearly and tactfully with tenants, applicants and the public

LANGUAGES: English. Ukrainian is an asset.

 

MAJOR RESPONSIBILITIES *shall include but not be limited to

Financial Responsibilities

  1. Handling day-to-day financial transactions (AR/AP) for the Complex, Centre and Barvinok.
  2. Keeping complete records of daily financial transactions. Verifying the accuracy of client documents and records relating to payments, receipts and other financial transactions and making necessary calculations.
  3. Verifying, processing and balancing financial records and business transactions, such as accounts payable and receivable, and entering data into ledger.
  4. Preparing monthly financial reports for the ED one week prior to Board meetings.
  5. Preparing financial statements and accounts for the year including preparation for the annual audit.
  6. Assisting in producing reports for the Local Health Integration Network on a quarterly and annual basis as needed.
  7. Contacting the payroll company for byweekly employee hours.
  8. Verifying payroll company deductions.
  9. Handling banking (including, deposits, cheques, receipts, records.)
  10. Handling a petty-cash system.
  11. Attending all staff meetings.
  12. Observing confidentiality of client records and finances and Board discussions and decisions.
  13. Providing support to the Executive Director and Board as required.

Tenant Responsibilities

  1. Responding to inquiries concerning rental units, market rents, rent geared-to-income, and supportive housing.
  2. Accepting and processing all new tenant applications.
  3. Reviewing and verifying the household income of applicants when necessary.
  4. Arranging for interviews with the Tenant Selection Committee when an apartment is available.
  5. Sending out acceptance/rejection letters.
  6. Processing withdrawals of applications.
  7. Maintaining applicant files.
  8. Maintaining waiting lists of unapproved and approved applicants as well as of applicants for internal moves and supportive housing.
  9. Coordinating the signing of the lease and other agreements between the Complex and the tenant.
  10. Accepting and documenting rental transactions.
  11. Preparing annual rent calculation and income verification.
  12. Providing tenants with building and Housing regulations.
  13. Administering the unit allocation process.
  14. Adjusting housing records/charges during mid-term according to the Agreement with the Ministry of Housing due to changes in tenant income or occupancy.
  15. Receiving and processing notices of intention to vacate, internal relocation requests and other occupancy changes.
  16. Notifying the ED of occupancy changes.
  17. Notify the ED of any arrears.
  18. Coordinating moves into, out of and between units.
  19. Updating tenant lists.

Building Maintenance Responsibilities

  1. Assisting the superintendent in documenting annual and move-out inspection of units to determine the condition of the unit and the extent of repairs and maintenance, which may be required.
  2. Filing completed work orders appropriately.

Office Responsibilities

  1. Responding to inquiries from residents and the general public.
  2. Purchasing office supplies/equipment, as directed.
  3. Maintaining a filing system.
  4. Carrying out reception/secretarial/clerical responsibilities including excel documents, word processing, filing, faxing and photocopying.
  5. Receiving incoming mail, opening and date stamping.
  6. Posting outgoing mail.

Salary:  Negotiable.
